The City of Hollywood is seeking a producer to deliver its monthly Downtown Hollywood ArtWalk Market and related entertainment. - Buyer: City of Hollywood, Florida — Parks and Recreation & Cultural Arts Department, ArtsPark and Cultural Affairs Division. - OEMs and vendors: No OEMs, branded products, or commercial vendors are named. Security is to be coordinated through the Hollywood Police Department. - Core service: Plan and operate 12 events annually, including recruitment and management of at least 25 vendors per event, vendor placement and compliance, staffing, sponsorship coordination, entertainment programming, waste removal, and monthly reporting. - Equipment and event support: Provide a stage at least 24 x 16 feet and 24 inches high, full PA and backline, audio equipment, moving-head controller lights and 10 LED wash lights, uniform white pop-up tents no larger than 10 x 10 feet with LED lighting, and one ADA-accessible portable toilet per event. An audio engineer is required for five hours at each event. - Programming and operating requirements: Coordinate activities such as mural and gallery tours, magic performances, chalk artists, and musicians or other performers. Submit opening-act and headliner schedules for City approval two months in advance. Vendors and activities require City approval; food offerings must be handheld, and food trucks and alcohol sales are prohibited. Single-use plastics and polystyrene are prohibited. Producer and vendor parking must be off-site or in public garages. - City-provided support: The City provides the special-event permit, ArtWalk marketing, street-closure barricades, and event banners and directional signage. - Other notable requirements: Maintain commercial general liability, automobile liability, workers’ compensation, and employers’ liability insurance, including specified coverage limits and additional-insured status where required. - Term: Three years from award, with two possible one-year renewals and a possible extension of up to 120 days.

Description

The City of Hollywood is seeking a qualified event producer to plan, coordinate, promote, and execute the monthly Downtown Hollywood ArtWalk outdoor Market, held twelve times annually on the third Saturday from 6:00 PM to 11:00 PM. The producer will recruit and manage vendors and coordinate related entertainment, while providing the main stage, sound system, lighting, technical crew, and event support. The scope also includes staffing, vendor compliance, waste removal, security coordination, monthly reporting, and delivery of an ADA-accessible portable toilet. Proposals must be submitted electronically through OpenGov; the contract has an initial three-year term with two possible one-year renewals.
