The University of Washington is seeking proposals from qualified suppliers for comprehensive audio visual (A/V) solutions and services across its Seattle, Tacoma, and Bothell campuses. - Scope includes: - Supply of A/V equipment (e.g., digital video switchers, projectors, LED displays, microphones, speakers, mixers, lighting, rigging, recording/streaming packages) - Design, installation, and integration of A/V systems for classrooms, lecture halls, historic venues, stadiums, and event spaces - Modernization of LED display systems at Alaska Airlines Arena (centerhung displays, sideline ribbons, corner sections, courtside tables, scoring/timing systems) - Event-based A/V rentals and support services - Preventative maintenance, troubleshooting, incremental upgrades, and extended warranty options (up to 10 years) - Vendors must: - Identify OEMs for LED systems and other A/V equipment (including chip supplier, diode model, and part numbers) - Meet requirements for digital accessibility (WCAG 2.2 AA), IT security, IoT integration, and AI governance - Provide executive contacts and comply with University data processing and cybersecurity riders - Multiple awards are anticipated; vendors may bid on equipment only or full-service contracts - Notable requirements: Experience with large educational institutions, warranty and technical support, and compliance with University standards

Description

This Request for Proposals aims to establish one or more contracts with suppliers capable of providing audio visual (A/V) equipment, design, installation, rentals, event services, and maintenance of A/V systems. The services will support University classrooms, lecture halls, historic performance venues, indoor and outdoor events, stadiums, and other spaces as needed. The solicitation is open to firms meeting minimum qualifications and available for work in Washington State. An optional pre-bid Zoom meeting is scheduled for September 18, 2026, and the bid submission deadline is October 22, 2026.
