Brookhaven National Laboratory (BNL), managed by Brookhaven Science Associates for the U.S. Department of Energy, is seeking comprehensive maintenance and support for its Audio-Visual (AV) and Video Teleconferencing (VTC) systems. - Government Buyer: - U.S. Department of Energy, Brookhaven Science Associates, Brookhaven National Laboratory - OEMs Highlighted: - Cisco - Poly (including Polycom) - Products and Quantities Requested: - Multiple Cisco Room Kit Plus P60 systems, TelePresence Precision 60 Cameras, Room Kit Mini, Spark Kit Plus, and Ceiling Microphones - Poly Studio X50, X52, X70, X30, G7500, G62, E60, E70, and X72 video systems, with various touch controls (TC8, TC10), cameras, and accessories - Quantities range from 1 to 4 units per item, covering conference rooms, auditoriums, executive offices, and specialized spaces - Services Requested: - Comprehensive AV and VTC maintenance and support, including technical support, preventive maintenance, remote diagnostics, software/firmware updates, warranty coordination, and lifecycle management reporting - Onsite VTC maintenance as per detailed Statement of Work - Notable Requirements: - Contractor must demonstrate manufacturer support capability, relevant past performance, and technical staffing - Lifecycle management and reporting are required - All labor, supervision, tools, and expertise must be provided to ensure operational readiness and minimize disruption to BNL operations - Detailed equipment inventory will be provided as an attachment - Period of Performance: - Initial 1-year base period with four 1-year option periods, for a potential total of 5 years

Description

The Contractor shall provide comprehensive maintenance, technical support, preventive maintenance, remote diagnostics, software maintenance, warranty coordination, and related support services for the existing Cisco, Poly, and associated Audio-Visual (AV) and Video Teleconferencing (VTC) infrastructure deployed throughout Brookhaven National Laboratory (BNL).

A detailed inventory of covered equipment and systems will be provided as an attachment to the resulting agreement. The Contractor shall furnish all labor, supervision, tools, expertise, and resources necessary to maintain the operational readiness, reliability, and performance of the designated VTC systems.

Support services shall include, but are not limited to, the following equipment and components:

Conference room VTC and collaboration systems Cameras, microphones, speakers, displays, and related peripherals Video conferencing codecs and control systems Network connectivity components dedicated to or supporting VTC operations Software, firmware, licensing, and operating systems associated with supported VTC platforms Integrated AV/VTC components and accessories necessary for system functionality

The Contractor shall provide proactive and reactive support services, including troubleshooting, repair coordination, system diagnostics, software and firmware updates, configuration assistance, performance optimization, and manufacturer warranty support as applicable.

Services shall be performed in a manner that minimizes disruption to BNL operations and ensures continued availability of critical conferencing and collaboration capabilities.
