The Texas Veterans Commission (TVC) is seeking proposals from qualified venues and event service providers to host the 2027 TVC Annual Conference, a large-scale, multi-day event. - Government Buyer: - Texas Veterans Commission (TVC), Training and Event Management (TEM) and Purchasing and Contracts (P&C) - Products and Services Requested: - Lodging accommodations for approximately 2,088 direct-bill room nights at or below State of Texas per diem rates - Includes standard rooms, suites, junior suites, ADA-compliant rooms, and rooms with refrigerators/microwaves - Meeting and conference space: - Up to 23 meeting rooms, including a general session ballroom (700-800 capacity), secondary ballroom (200 capacity), up to 24 breakout rooms (35-50 capacity), boardrooms, computer lab, registration area, secure planning and A/V storage rooms - Parking for approximately 822 attendees per day, including oversized and ADA-accessible spaces - Audio/visual equipment and support: - Podiums, microphones, projectors, screens, sound systems, ADA-compliant staging, technician support, high-speed internet, power strips, extension cords - Food and beverage services: - Breakfast, lunch, banquet dinner, beverage stations, evening social events, onsite/offsite meal options within State of Texas per diem limits - Conference event management and support: - Registration area setup, planning and operations room, A/V storage, and comprehensive event logistics - Unique or Notable Requirements: - Venue must comply with ADA accessibility standards - Ability to accommodate a statewide conference with 593 attendees and 2,088 room nights - Detailed pricing for all services, including lodging, meeting space, A/V, food and beverage, and parking - Sample menus and demonstration of relevant past performance required - Event to be held over three consecutive days, with four room nights, between September 15 and December 15, 2027 - No specific OEMs or vendors are named; solicitation is open to all qualified venues and event service providers

The Texas Veterans Commission (TVC) is seeking a qualified venue to provide lodging, meeting space, food and beverage services, and associated audio/visual support for the 2027 TVC Annual Conference. The selected venue must offer sufficient guest rooms, meeting facilities, and event support services necessary to successfully host a statewide conference of this scale. The solicitation includes requirements for meeting room management, lodging coordination, audio/visual services, food and beverage services, registration services, conference planning, and event logistics management. The contract value is estimated at $500,000.00.
