The Department of the Air Force, through Air Force Medical Command (AFMEDCOM), is seeking turnkey event planning and execution services for an upcoming AFMEDCOM POM Working Group conference near Defense Health Headquarters in Falls Church, VA. - Government Buyer: - Department of the Air Force - Air Force Medical Command (AFMEDCOM) - OEMs and Vendors: - No specific OEMs or vendors are named; the opportunity is open to qualified event planning service providers. - Products/Services Requested: - Main conference room for 80 attendees (schoolhouse/classroom layout, minimum 1,200 sq. ft.) - Breakout room for up to 10 personnel, co-located with main conference space - Approximately 35 single-occupancy lodging rooms for 5 nights (at or below $275/night) - Integrated audio/visual equipment and support (microphones, speakers, synchronized visual displays compatible with government laptops, clear audio/visuals up to 50 feet) - Turnkey event planning and execution, including venue and lodging coordination, technical setup, and acting as primary liaison with the hotel/venue - Unique or Notable Requirements: - All facilities must be within a 5-mile driving radius of DHHQ in Falls Church, VA - Conference and breakout spaces must be available September 14-17, with setup by 8 AM on September 14 - Lodging block must be reserved for check-in September 13 and check-out September 18 - A/V setup must be fully operational by the start of the conference - Lodging rate cap of $275/night - Contractor is responsible for all coordination and ensuring operational readiness

NOTICE OF DRAFT REQUEST FOR QUOTATION (RFQ) RELEASE

DISCLAIMER: This is a Draft RFQ issued solely for market research and planning purposes. This notice does NOT constitute a formal solicitation (Request for Quote), and the Government is NOT requesting quotes or proposals at this time. The Government will NOT pay for any information or administrative costs incurred by industry in response to this draft notice.

PURPOSE: The Air Force is releasing this draft package (including the draft PWS, evaluation criteria, and a unique Hotel & Facility Coordination Attestation) to allow potential small business event planners to review the requirements and coordinate with local hotels within the designated 5-mile driving radius of DHHQ (Falls Church, VA) prior to the anticipated formal solicitation release.

FEEDBACK: Industry is highly encouraged to submit questions, comments, or capability feedback regarding the draft package to the Government Points of Contact (POCs) listed in the RFQ no later than 20 Jul 2026. The Government will utilize this feedback to finalize the acquisition package and approach.
