The University of Arizona is seeking proposals for comprehensive event equipment rental services to support university and affiliated events. - Government Buyer: - Arizona Board of Regents, University of Arizona, Supply Chain Services, Facilities Management - Products/Services Requested: - Rental of tents and tent structures (including anchors), tent lighting, fencing, rope & stanchions, artificial turf, carpet, fire extinguishers, safety equipment, fans, heaters, portable AC, HVAC ducting, portable generators, dance floors - Rental furniture: chairs, tables (various types), TV rental, water coolers, fencing, linens, napkins, glassware, chinaware, flatware, propane tanks, display equipment, portable toilets (including ADA-compliant), handwashing stations - Event staging and rigging: stage platforms, risers, scaffolding, stairs, ramps, railings, pipe & drape, lecterns, skirting, truss/pole sleeves, carpeting - Additional items: information booths, signage, sign stands, frames, trash cans, themed decorations, lighting, centerpieces, photo/video booths, crowd control barricades - Labor and services: delivery, installation, teardown, pickup, maintenance, trash/recycling, expert operation during events - No specific OEMs or vendors are named in the solicitation - Notable Requirements: - Vendors must comply with ADA and safety regulations - Equipment must be high-quality and uniform in appearance - Services are provided on an as-needed basis for all University of Arizona departments and potentially other state educational/governmental entities - Contract term is two years with up to three one-year renewal options, plus possible three-month extension

Description

The Arizona Board of Regents (ABOR), on behalf of the University of Arizona, is soliciting proposals from qualified vendors to furnish the University of Arizona with equipment for rental to provide special event rental services on an as-needed basis. The procurement covers the use of all departments at the University of Arizona and may be accessed by other state universities and educational institutions. Proposals are due by July 16, 2026, at 2:30 PM MST, with technical inquiries due by June 30, 2026, at 2:00 PM.
