This opportunity is for venue and event support services for the U.S. Embassy Kuala Lumpur's Freedom 250 Reception in Kota Kinabalu, Sabah, Malaysia. - Government Buyer: - U.S. Embassy Kuala Lumpur (Department of State) - OEMs and Vendors: - No specific OEMs or commercial vendors are named; the procurement is open to qualified venue providers and event service companies. - Products/Services Requested: - Main ballroom venue space for 400 guests, including foyer, main stage with LED screen, AV production area, cocktail tables, chairs, and sofas - Two meeting rooms (20 seats each) - Two security/command post rooms (20 seats each, lockable, with storage) - Ten sponsor display spaces with tables, chairs, power outlets, and preferred LED screens - Four event check-in and security spaces with tables, chairs, rope and stanchion, power for metal detectors, and strong internet - Dressing room for 20 performers with mirrors and restrooms - Covered parking for 200 vehicles with elevator access - Red, white, and blue decorations package (centerpieces, wall/ceiling decor, floral, lighting, flags, stage displays) - Audiovisual equipment: podiums, wireless microphones, built-in LED screens, stages, AV carts/tables, AV connections, technical support, wireless internet - Catering services for 400 guests (buffet, 8-10 food options, two bar stations for soft drinks and Embassy-furnished alcohol, service for staff and performers) - Directional signage in English from parking/main entrance - Ceremonial flag poles and bases (flags provided by Embassy) - Comprehensive venue support services: all personnel, equipment, supplies, facilities, tools, materials, supervision, and non-personal services required for the event (excluding government-furnished items) - Unique/Notable Requirements: - Venue must be in Kota Kinabalu, Sabah, Malaysia - Event is for 400 guests, with significant VIP, security, and logistical needs - Contractor must provide all event support except for certain government-furnished items (e.g., alcohol, some equipment) - Offerors must be registered in SAM.gov for proposals over USD40,000

Description

The Embassy of the United States of America invites you to submit a quotation for  the procurement of Venue for Freedom 250 Reception in Sabah, Malaysia. The Embassy intends to award a single purchase order / contract for the required  services.  Kindly refer to the attached scope of work (SOW) for further details. Your  quotation must be submitted electronically to KualaLumpurDTO@state.gov marked “Quotation Enclosed – Venue for Freedom 250 Sabah Reception” to the Contracting Officer, General Services Office, 376, Jalan Tun Razak, 50400 Kuala  Lumpur on or before 12:00 noon on July 13, 2026. No quotations will be accepted after that time. Contractor must have valid and  active registration in SAM.gov at the time of proposal submission for total value  above USD40,000.
