The Library of Congress is seeking a contractor to provide comprehensive event management services for its annual National Book Festival, covering both in-person and virtual components. - Government Buyer: - Library of Congress, Contracts and Grants Directorate, Washington, DC - Scope of Services: - Full event management for the National Book Festival, including planning, execution, and reporting for hybrid (in-person and virtual) events - Key personnel required: Project Executive, Project Manager, Event Executive, Live Producer, Virtual Producer, Management Consultants, Videographer, Broadcast Interviewer, Transportation Coordinator, and technical staff - Strategic planning, logistics, health and safety, attendee experience, and accessibility support - Coordination of audiovisual, livestreaming, signage, furnishings, exhibitor recruitment, ticketing, transportation, and storage - Development and management of a virtual event web application supporting up to 25,000 concurrent users - Technical and audience support, help desk, and accessibility services (e.g., CART translation) - Products and Equipment Requested: - Event furnishings: stage backdrops, sofas, armchairs, tables, potted plants, drapes, banners, and signage - Audio-visual and lighting: microphones (wired/wireless), speakers, monitors, projectors, LED video wall, stage lighting, robotic cameras, teleprompters, assistive listening devices - Event supplies: T-shirts, credentials, lanyards, emergency contact cards, pens, markers, name tags, notepads, gloves, health and safety kits - Virtual event solutions: web application, virtual exhibitor spaces, attendee registration, data collection, gamification, donation modules, and content management systems (up to 20TB) - Transportation: vans, minibuses, coaches (including ADA-compliant options), drayage services - Storage: up to 5,000 sq ft of inventory space, with additional options - Notable Requirements: - Hybrid event execution at the Walter E. Washington Convention Center and Library of Congress facilities - Support for both physical and virtual attendee engagement, including accessibility and health/safety measures - Multi-year IDIQ contract structure (base year plus four option years) - No specific OEMs or proprietary brands required; solutions must be audience-focused and scalable - Period of Performance: - Base year plus four one-year options (potential five-year contract) - Annual event planning and execution, with specific event days and virtual hosting windows - Locations: - Walter E.
