The U.S. Embassy in Mexico City is seeking a professional event production company to deliver comprehensive production logistics for the 250th Independence Day Celebration at the New Embassy Compound. - Government Buyer: - U.S. Department of State, U.S. Embassy Mexico City, General Services Office / Procurement - Scope of Services: - Complete event production logistics including setup, execution, and takedown - Audio equipment: digital audio consoles (Front of House and Monitor Mixing), networked stage racks, microphones, wireless systems, RF management, podium microphones, audio accessories, communication system, cabling kit, and audio engineer - Backline instruments: drum kit, guitar amplifier, bass amplifier, keyboards (88-key with sustain pedals), keyboard stands, instrument stands, side tables, stage fans - Lighting systems: control console (latest software), moving heads, washes, spots, static fixtures, followspots, fog/haze/CO2 effects, programmable lasers, robust lighting network, kinetic elements, certified rigging, experienced lighting operator and technicians - Stage setup: 10m wide stage, 1m height, front and rear platforms, steps, handrails, screen support - Pipe & drape: masking for temporary structures and trusses - Video systems: main LED screen (6m x 3.5m), secondary LED screen (4m x 2.5m), LED wall panels, sending cards, processing controllers, video processing/switching, power distribution, monitors, camera package (2 4K camcorders), tripods, video transcoders, file recorder, storage drives, intercom, cabling, control laptops - Rigging: truss systems (front, mid, upstage), motors (1-ton and 0.5-ton), motor controllers, power distribution, rigging hardware - Power supply: generator (125 Kva), feeder cable (100m), fire extinguishers - Press risers: platforms (two levels), speakers, audio distribution console (30 inputs), stanchions, monitor - Operator services: event logistics, power supply, event management, sound engineering consultation, ceiling projection and special effects lighting - Products/Services Requested: - No specific OEMs or brands are named; technical requirements are specified for all equipment - Quantities are generally single units or lots per item, with detailed specifications for each - Unique Requirements: - Contractor must provide a detailed setup and takedown plan - Designate an on-site Event Manager for coordination - Sound engineering consultation and special effects lighting for ceiling projection - Continuous contractor availability from 07:00 to at least 19:00 hours, including weekends - All labor, materials, transportation, and overhead included in firm-fixed price contract - Place of Performance: - New Embassy Compound (NEC) Facilities, Av. Description

The U.S. Embassy requires a professional event production company to produce, develop, organize and manage the logistics for Audio, Lighting, Pipe and Drape, and Video Camera setup for the Independence Day Celebration which will be celebrated on July 30, 2026 in the New Embassy Compound (NEC) Facilities in Mexico City.  

No Site Visit is planned for this solicitation.

All responsible sources may submit a proposal as long as it complies with the RFQ requirements. The Government may award the contract based on the initial offer without discussion. The resultant contract will be a firm-fixed price Purchase Order. 

Pursuant to FAR 4.1102(a) Offerors must be registered in SAM at the time an offer is submitted in order to comply with the annual representations and certifications requirements. Failure to be registered at the time of proposal submission shall deem the offeror’s proposal to be considered non-responsive to the solicitation requirements and no further consideration will be given. Therefore, you are encouraged to complete the registration process and have an active account in sam.gov prior to proposal submission.
