NASA is seeking a local vendor to host the 2026 NASA Thermal and Fluids Analysis Workshop (TFAWS) in Huntsville, Alabama, with detailed requirements for event facilities and services: - Government Buyer: - National Aeronautics and Space Administration (NASA) - NASA Shared Services Center (NSSC) - Marshall Space Flight Center (MSFC) - OEMs and Vendors: - Embassy Suites by Hilton Huntsville is named as the intended sole source venue - No other OEMs or specific vendors are mentioned - Products/Services Requested: - Event hosting services for up to 400 attendees - Meeting rooms: - 1 room for 300 attendees (round tables) - 1 room for 12 attendees (conference) - 3 rooms for 50 attendees each (theater) - 1 room for 40 attendees (classroom) - 1 room for 30 attendees (classroom) - Media equipment: - 4 microphones - 7 projector screens with hook-ups - Registration area: - 20 tables for registration/vendor booths - Hotel accommodations: - Block of 150 hotel rooms per night (August 30–September 2) - 100 rooms for September 3 - Room rates at or below government per diem - Parking for all attendees, including complimentary parking for day attendees - Unique/Notable Requirements: - Event must be held in Huntsville, Alabama, with performance at or near NASA Marshall Space Flight Center - Hotel room block and event space must meet government per diem and configuration requirements - Procurement is currently not a request for quotes; NASA is seeking capability statements from interested local vendors - Sole source intent to Embassy Suites by Hilton Huntsville, but other qualified vendors may submit capability statements for consideration - Place of Performance: - NASA Marshall Space Flight Center, Huntsville, Alabama - Embassy Suites by Hilton Huntsville (proposed venue)
