UNCW Copier Management Program: Replacement and Expansion of Multi-Functional Printers (MFPs)

The University of North Carolina at Wilmington (UNCW) is seeking proposals for a comprehensive copier management program to replace and expand its fleet of Multi-Functional Printers (MFPs). - Approximately 170 MFPs will be replaced, with the fleet potentially growing to 175 or more units during the contract term - Equipment classes include: - 110 departmental color MFPs (45+ ppm, scan, stapling, scan-to-email, optional fax) - 56 student printing MFPs (color and B&W, 45+ ppm, secure drawers) - 3 library copiers (color, book platen, no stapling) - 2 coin/bill operated copiers (B&W, 50+ ppm, coin/bill operation) - All MFPs must integrate with Pharos Uniprint and Off the Glass software - The contract includes: - Rental or leasing of MFPs - Per-copy pricing (including consumables except paper) - Delivery, installation, and relocation at no additional cost - Onsite training within 24 hours of installation and ongoing training upon request - Full service and maintenance by an authorized factory dealer, with strict response and backup requirements - No specific OEMs or vendors are named, but compatibility with Pharos Uniprint and Off the Glass is mandatory - Only sealed, mailed responses are accepted; vendors must be registered with the North Carolina eVP - Place of performance is the UNCW main campus in Wilmington, NC

UNCW intends to replace its existing Multi-Functional Printers (MFPs) with units capable of integrating with the Pharos Uniprint and Off the Glass software currently licensed by the University. The University presently operates approximately 170 units, with an estimated increase to 175 or more due to anticipated campus growth during the contract term. The procurement involves office equipment rental or leasing services related to copier services. Proposals are due by May 14, 2026, and sealed, mailed responses only will be accepted.
