Request for Information (RFI) - Notice This Request for Information (RFI) is issued solely for information and planning purposes only and does not constitute a solicitation. The submission of pricing, capabilities for planning purposes, and other market information is highly encouraged and permitted under this RFI in accordance with Federal Acquisition Regulation (FAR) 15.201(e). Attachment Details Replacement of Endoscope Reprocessor System & Installation for Baltimore VAMC Brand Name or Equal to Medivator, in accordance with the Statement of Work (SOW). See details in the SOW. Note: OEM distributor/authorization letter from the manufacturer is required for all responses. If no OEM letter is supplied, the vendor will be considered non-responsive and disqualified when the RFI closes. Vendors must complete the Trade Agreement Certificate - FAR 52.225-6. Failure to answer all questions (1-14) will result in the vendor being considered non-responsive and disqualified at the closing of the RFI. Requirement Overview Agency: U.S. Department of Veterans Affairs, VA Medical Center (VAMC) Description The Baltimore VA VAMC requires delivery within 90 days from contract award to the following warehouse during normal business hours (8:00 a.m. to 3:30 p.m., Monday through Friday): Delivery Address: U.S. Department of Veterans Affairs Baltimore VA Medical Center Warehouse/Attn: 10 North Greene Street Baltimore, MD 21201. Delivery and Installation The contractor shall deliver the commodities (see attachments) within 90 days or less from the award date, unless directed otherwise by the Contracting Officer (CO). Delivery shall occur during normal business hours, excluding federal holidays and weekends unless directed otherwise. Market Research Purpose The U.S. Government is conducting market research to identify responsible sources capable of meeting the requirements. This may lead to an invitation for open discussion or a future solicitation. Submission of information is voluntary and at no cost to the government. Proprietary information should be marked accordingly. The government reserves the right to reject any input and is not obligated to notify respondents of the results. Statement of Work (SOW) Purpose Procure and install three (3) endoscope reprocessors and one (1) sterilizer at the VA Maryland Health Care System, Baltimore, MD, including accessories, training, installation, and validation. Scope Deliver and install new equipment, coordinate removal of existing devices, and ensure system validation. Equipment must meet specified characteristics and be installed by OEM-trained representatives. Salient Characteristics Reprocessors with monitor, foot switch, accessible control panel, chemical drawers, barcode scanner compatibility, and capacity for two endoscopes. Sterilizer with touchscreen, hands-free operation, barcode scanner, and compatibility with CensiTrac. Removal & Installation Remove existing devices (e.g., Medivators Advantage Plus ADV-1007), disconnect utilities, and install new equipment per coordination with Biomedical Engineering and Infection Control. Responsible for all labor, materials, and plumbing adjustments. Delivery Coordinate delivery with the COR with at least 3 weeks' notice. Equipment must arrive in original sealed containers with purchase order number. Site Conditions No smoking on hospital property. PPE and COVID-19 precautions as per local guidelines. Inspection & Acceptance Joint inspection upon delivery. Any damages or missing items must be reported and corrected at no cost to the government. Period of Performance Delivery within 90 days ARO. Operator Training Onsite training by vendor representatives, scheduled with the COR post-installation. Protection of Property Protect all items and repair any damages caused during installation. Security Requirements Photo ID required. PPE and COVID-19 protocols must be followed. Warranty Minimum 1-year warranty on parts and labor, including onsite repairs and support. Additional warranty years are recommended. Contract Type & Evaluation Firm-Fixed Price.
