Description

The purpose of this Sources Sought notice is for informational and planning purposes only, and to obtain a list of capable vendors and possible industry feedback. Please see attached Statement of Need for all requirements. Please include BOTH 2d Lt Maurice Epps email: maurice.epps@spaceforce.mil or Lt Andrew Flamm email: andrew.flamm.1@spaceforce.mil on all communications.

Please see below questions and include answers to them with your response to this Sources Sought notice.

COMPANY INFORMATION:

What is your company's name, address, CAGE code, and Unique Entity ID (UEI)?

Who is the best person to contact for follow-up questions?

Please provide their name, title, email, and phone number.

What is your company's business size (e.g., small business, large business)?

Do you fall under any socioeconomic categories (e.g., 8(a), HUBZone, Service-Disabled Veteran-Owned Small Business)?

STATEMENT OF NEED/REQUIREMENTS:

Are any specifications, terms, or requirements in the SON unclear, ambiguous, or overly restrictive? If so, please specify the section and your question.

Based on your experience, are there any critical components, processes, or features missing from the SON that are essential for a successful, fully functional relaxation pod? If so, please explain.

Are there any features listed that significantly drive up the cost for minimal benefit?

Would you recommend alternative features that provide a better "value" for relaxation and wellness (e.g., therapeutic lighting or audio instead of heated seats)?

The SON requires a subscription-free content library. Is this a standard offer? Does this model limit future content updates? Would you recommend a different model (e.g., a one-time content update service) to ensure the pods remain engaging over their lifespan?

What are the typical site preparation requirements for a product like this? (e.g., power outlet type/amperage, doorway/hallway clearance dimensions, floor weight capacity). Should these details be specified in the SON?

Do you have any recommendations for improving this Statement of Need to allow for a more accurate and competitive response?

TECHNICAL CAPABILITY:

The Government requires a commercial, off-the-shelf solution for relaxation pods that provide a multi-sensory experience designed to promote mental and physical tranquility. At a minimum, each of the three (3) pods must include:

Visual Relaxation Content: A high-definition (minimum of 1280 x 720 pixels) display of at least 40 inches. The system must include access to a pre-loaded library of tranquil nature scenes, guided meditation sequences, and other mindfulness-focused video content without requiring a recurring subscription or internet connectivity for core functionality.

Personalized Comfort: User-selectable options, including integrated cooling fans and heated seating.

Biometric Monitoring: The ability for users to monitor their heart rate to track relaxation progress. Crucially, the system must be designed so that no personal identifiable information (PII) or personal health information (PHI) is stored on or transmitted from the device.

User Privacy: The unit must be fully or partially enclosed to provide a private, quiet space for the user.

PAST PERFORMANCE/EXPERIENCE:

Do you have any examples of similar projects completed within the past 5 years?

Have you performed similar work for the Department of Defense or other federal agencies? If so, please describe your experience.

DELIVERY/INSTALLATION:

What is the estimated lead time for equipment delivery after contract award?

Provide an estimated timeline for the installation process, from site arrival to system commissioning.

PRICE ESTIMATE:

Provide a Rough Order of Magnitude (ROM) price for three (3) units, to include delivery to Buckley SFB, CO. If installation is a separate cost, please itemize it.

Confirm you can meet the delivery timeline of NLT 60 days from receipt of award as stated in Section 5.0 of the SON. If not, please provide your standard lead time.

Describe your standard commercial warranty as required by Section 6.0 of the SON.
