This opportunity is for a sole source contract with CardioQuip, LLC to provide preventative and corrective maintenance services for CardioQuip medical devices at Department of Veterans Affairs facilities. - Sole source procurement to CardioQuip, LLC, the Original Equipment Manufacturer (OEM) - CardioQuip does not authorize third-party maintenance or training - Only CardioQuip can provide OEM parts and scope repair services - Services required include: - Annual preventive maintenance for CardioQuip MACH-1000(I) heater-cooler machines and Refrigerator Modules - Corrective maintenance, technical phone support, annual hose replacement, and parts/labor - 72-hour response time and 2-hour callback for service requests - Compliance with NFPA-99, UL, VA, and CDRH standards - Detailed documentation, qualified Field Service Engineers, and adherence to records management/security protocols - Equipment covered: - 2 CardioQuip MACH-1000(I) heater-cooler machines (serial numbers 10161260, 10161259) - 2 CardioQuip Refrigerator Modules (serial numbers 12160939, 12160940) - Place of performance includes VA Medical Center facilities, specifically Building 200 OR Suites and Biomedical Engineering Shop - Vendors must provide an authorization letter from CardioQuip to be considered - Responses are due by April 6, 2026 - Draft Performance Work Statement (PWS) is available for review

Description

The Department of Veterans Affairs, NCO 21, intends to award a sole source firm fixed price contract to CardioQuip, LLC, for preventative maintenance services as they are the sole manufacturer, and no longer support third-party maintenance on their devices nor do they offer third party training on their devices. Due to these restrictions this requirement must be sole sourced to CardioQuip, and no authorized third parties can provide the scope repair services and OEM parts that can satisfy this requirement. A draft performance work statement is attached. If you believe that your company is capable and authorized to perform these services in accordance with the performance work statement, please provide your information and capability along with an authorization letter from CardioQuip PM Services by responding to durell.salaz@va.gov no later than April 6, 2026, by 10 A.M. PST. This notice of intent is not a request for competitive quotes. Responses received will be evaluated; however, a determination by the Government not to compete with the proposed procurement based upon responses received to this notice is solely within the discretion of the Government. No solicitation document is available.
