The Baldwin Public Library Board and Trust met on September 28, 2026. The main procurement and capital-project discussion concerned the library’s deteriorating loading dock. RFP bids had been received in July, but the city requested three quotes to hire an engineer to review the bids and help select the project contractor. The first project bid was reported at about $60,000; the engineer selection and winning-bid decision remained pending, and completion was expected to be delayed beyond the planned November 15 date. The board noted that funding for the project did not appear in the current fiscal-year budget and raised safety and maintenance concerns. Director Craft agreed to raise the issue with the city manager, and board members discussed preparing a letter to the city and appearing before the city commission. No loading-dock contract award was made.

The board also reviewed a proposed autonomous robot vacuum at a total cost of $32,364, including a $250 monthly service fee. Members questioned its effectiveness and discussed arranging a trial in January; no purchase decision was made. The next janitorial-services RFP is expected in summer 2027, before the current contract expires in October 2027. Other facilities updates included a lower-level renovation with furniture already ordered and a city-coordinated atrium HVAC replacement, which was reported to be under warranty through October 2027. The board approved the consent agenda, including August vendor payments, and unanimously approved sending the FY 2025–26 annual report and related documents to the city commission. The Trust approved its consent agenda, including August receipts and disbursements; no specific new procurement action was recorded.
