Commercial Printing and Mailing Services

The City of Avondale, an Arizona municipal corporation, is the government buyer for this professional services agreement. Specific print items include bookmarks, brochures, business cards, door hangers, flyers, posters, rack cards, magazines, envelopes, court notices, carbonless forms, building inspection stickers, annual reports, water quality reports, voter information pamphlets, police department forms, and more, with detailed quantities and unit prices provided in the fee proposal. Mailing services include presort standard mail, first-class mail, Every Door Direct Mail (EDDM), mailing list creation, and mailing using the City of Avondale indicia. Delivery locations include multiple City of Avondale facilities such as City Hall, City Court, Civic Center Library, Neighborhood and Family Community/Senior Center, Police Department, Public Works Department, Municipal Center, Sam Garcia Library, and Resource Services. The contract term is effective until October 31, 2025, with up to four successive one-year renewal terms subject to City approval and funding availability. Unique contract requirements include compliance with OSHA and other safety standards, ownership of all documents by the City, detailed insurance requirements including commercial general liability, vehicle liability, professional liability, and workers compensation, strict inspection and acceptance criteria, confidentiality of City information, E-verify compliance, prohibition of forced labor, and cooperative purchasing provisions allowing other eligible political subdivisions to use the contract. The contract is non-exclusive, allowing the City to procure similar services from other sources. The contract includes detailed provisions for termination, indemnification, and audit rights.
